Terms & Conditions

Terms & Conditions

The fine print.

Please read the following booking policies carefully before confirming your reservation or event at The Grand Heritage Resorts.

These Terms & Conditions apply to enquiries, reservations, venue bookings, accommodation bookings, wedding packages, corporate events, social events and other services booked with The Grand Heritage Resorts (TGHR).

By confirming a booking with TGHR, the client acknowledges and agrees to the applicable quotation, confirmed package, event details and these Terms & Conditions.

Important: Booking-specific inclusions, commercials, payment schedules, dates, venues, accommodation allocation and special conditions will always be governed by the final quotation / booking confirmation issued by TGHR.

1. Booking & Confirmation

All bookings are subject to availability and are confirmed on a first-come, first-served basis.

An enquiry, site visit, verbal discussion, telephone conversation, WhatsApp communication or tentative proposal does not block or reserve a date.

A booking is considered confirmed only after:

  • Receipt of the applicable booking advance/payment
  • Acceptance of the final quotation
  • Completion of the required booking formalities
  • Acceptance of TGHR's applicable Terms & Conditions

Any booking-specific commitment must be recorded in writing in the final quotation, booking confirmation or approved written communication issued by TGHR.

TGHR's current booking agreement similarly states that dates are not blocked without advance payment and that bookings become valid only after payment and signed acceptance.

2. Venue + Stay Package Policy

TGHR operates structured Venue + Stay packages for weddings and other applicable multi-day events.

A confirmed package may include selected:

  • Event spaces
  • Accommodation inventory
  • Package duration
  • Approved room allocation
  • Venue infrastructure
  • Other inclusions expressly mentioned in the confirmed quotation

Once a package is confirmed, the included venues, accommodation, duration and other confirmed components cannot be reduced, split, partially cancelled or downgraded.

Upgrades or additions may be considered subject to:

  • Availability
  • Operational feasibility
  • Additional charges
  • Written approval from TGHR

Only the services specifically mentioned in the final quotation are considered included.

The underlying TGHR undertaking describes the package as locked after booking and prohibits reductions, splitting and downgrades while allowing upgrades subject to availability and management approval.

3. Pricing, Taxes & Commercial Terms

All commercial terms, applicable taxes, booking advances, payment schedules and additional charges will be stated in the final quotation issued for the booking.

Applicable GST and other statutory taxes will be charged according to:

  • The nature of the confirmed service/package
  • The tax treatment mentioned in the quotation
  • Applicable government regulations at the time of billing

Where a package is specifically quoted under a tax structure where Input Tax Credit is not applicable, the quotation will state this accordingly.

Any change in statutory taxes or government levies applicable to the booking will be payable as required by law.

The booking-specific quotation is the final commercial reference.

The source undertaking itself distinguishes GST treatment depending on the package/quotation structure.

4. Payment Terms

The applicable payment schedule will be clearly mentioned in the client's confirmed quotation.

Unless otherwise stated in writing:

  • Required booking payment must be received to confirm the booking.
  • Interim payments must be completed according to the confirmed schedule.
  • The complete balance must be cleared within the prescribed timeline before the event.
  • Additional services or approved additions must be paid before execution.
  • Full payment must be completed before final event execution, guest allocation or use of the booked services, as applicable.

Delay or non-payment may result in cancellation or release of the booking according to TGHR policy.

Payments once made are non-refundable and non-transferable, except where TGHR expressly confirms otherwise in writing.

The attached undertaking requires payment according to the agreed schedule and provides for cancellation/release where payment timelines are not met.

5. Cancellation & Date Change

All cancellations are subject to the booking-specific terms confirmed in the quotation.

Unless expressly stated otherwise in writing:
Booking advances and payments are non-refundable and non-transferable.

A request for a change of event date:

  • Must be made in writing
  • Is subject to availability
  • Is subject to TGHR management approval
  • May be subject to revised rates, terms or other conditions applicable to the new date

Approval of a date change should not be assumed until confirmed in writing by TGHR.

Force-majeure situations and government restrictions will be dealt with according to the applicable booking terms, availability and management decision.

The current undertaking provides for written rescheduling requests subject to availability and states that cancellations are non-refundable.

6. Check-In, Check-Out & Event Timings

Check-in, check-out and event-space access will be strictly according to the confirmed quotation or selected package duration.

For TGHR Venue + Stay packages, the applicable timing will be stated clearly in the final quotation.

Standalone room reservations and standalone venue reservations may have different timings.

Early check-in, late check-out or extended event-space usage:

  • Is not automatically included
  • Is subject to availability
  • Requires TGHR approval
  • May attract additional charges

Guests, luggage, vendors and event material must be cleared from the confirmed rooms/event areas within the applicable checkout and event-space timings.

The source agreement distinguishes package, room-booking and standalone-venue timings and makes extensions subject to availability and additional charges.

7. Catering Policy

Wedding and event catering must be arranged through TGHR-approved / empanelled catering partners, unless TGHR management specifically provides written approval otherwise.

External caterers are not permitted without such approval.

Catering requirements should be finalised according to:

  • Guest count
  • Event flow
  • Meal timings
  • Final menu
  • Operational requirements

The final catering/menu plan must be submitted within TGHR's prescribed event-confirmation timeline.

Catering is a separate service unless specifically included in the confirmed quotation.

TGHR's agreement requires catering through empanelled vendors and requires final catering/event details before the event.

8. Decor & Production Policy

Decor must be undertaken through TGHR-approved / empanelled decor partners, unless specifically approved otherwise in writing by TGHR management.

The final decor and production plan must be approved in advance.

All vendors must follow TGHR requirements relating to:

  • Setup and dismantling timings
  • Venue access
  • Safety
  • Hygiene
  • Electrical load
  • Fire safety
  • Property protection
  • Vendor movement
  • Production infrastructure

TGHR reserves the right to stop or restrict any setup that is unsafe, unauthorised or inconsistent with the approved event plan.

9. Electricity, Genset & External Event Load

TGHR provides normal electricity and resort power backup for resort and venue infrastructure.

This should not be considered power backup for professional event production.

A separate genset / appropriate power source is compulsory, as applicable, for:

  • Decor
  • Professional sound
  • DJ setup
  • Event lighting
  • LED screens
  • Production equipment
  • Trussing
  • Special effects
  • Other external electrical loads

External production equipment must not draw power from TGHR infrastructure unless specifically authorised.

The underlying agreement expressly separates resort backup from decor/external setup electricity.

10. Sound & Music

Music and amplified sound are permitted only within applicable government regulations and TGHR operating policies.

The current permissible music timing at TGHR is: Up to 11:00 PM unless an earlier statutory restriction applies.

Sound must stop when the permissible limit is reached. Extensions cannot be assumed or guaranteed.

The source agreement currently specifies sound only until 11:00 PM under government regulations.

11. Venue Access & Allocation

Clients and their guests/vendors may use only the rooms and event spaces specifically included in the confirmed booking.

Any unbooked:

  • Lawn
  • Banquet
  • Poolside
  • Accommodation block
  • Event area
  • Support space

remains under TGHR's control.

Unbooked areas cannot be used for:

  • Decor
  • Guest seating
  • Catering
  • Food service
  • Stage setup
  • Photography setup
  • Vendor storage
  • Production equipment
  • Backstage use
  • Any other event-related activity

Unless the confirmed quotation specifically states that the entire resort has been booked exclusively, a booking should not be treated as a full-resort buyout.

TGHR may allocate unbooked areas to other guests or events.

This reflects the venue-rights provisions and booking-specific access clauses in the source agreement.

12. Final Event Details

The following must be submitted within the timeline specified by TGHR, generally at least five days before the event, unless a different deadline is confirmed:

  • Final guest count
  • Final rooming list
  • Event flow
  • Venue allocation
  • Food/menu plan
  • Decor plan
  • Production requirements
  • Vendor details
  • Special operational requirements

Once finalised and approved, changes remain subject to feasibility, availability and additional costs where applicable.

The source undertaking requires the final event plan and related details at least five days before the event.

13. Room & Accommodation Policy

Accommodation access is limited to the rooms and stay inventory included in the confirmed booking.

Final room allocation must be provided through the approved rooming list.

Additional accommodation:

  • Is subject to availability
  • Must be approved separately
  • Will be charged separately

Rooms or accommodation inventory not included in a particular booking remain available for TGHR to allocate or sell independently.

Room Service:

  • TGHR does not operate a standard room-service system unless specifically confirmed otherwise for a particular booking.

The attached terms state that TGHR does not operate room service and that restaurant access is limited according to the booking type.

14. Safety, Conduct & Guest Responsibility

The booking party is responsible for the conduct of:

  • Guests
  • Family members
  • Employees
  • Vendors
  • Contractors
  • Representatives

Guests are responsible for safeguarding their personal belongings.

TGHR is not responsible for loss, theft or damage to personal belongings except where liability cannot legally be excluded.

TGHR reserves the right to intervene where conduct creates:

  • A safety risk
  • Property damage
  • Disturbance
  • Illegal activity
  • Violation of TGHR policies
  • Violation of applicable law

The source agreement places responsibility for guest/vendor conduct and personal belongings on the booking party/guests.

15. Damage, Loss & Missing Inventory

The client will be responsible for damage, loss or missing inventory caused by the client, guests, vendors, contractors or representatives during the booking.

This can include damage or loss involving:

  • Guest rooms
  • Furniture
  • Fixtures
  • Linen
  • Equipment
  • Lawns
  • Banquets
  • Pool areas
  • Doors/windows
  • Walls
  • Electrical fittings
  • Event infrastructure
  • Other TGHR property

Applicable repair or replacement charges will be assessed by TGHR and must be settled according to the applicable booking terms.

The source agreement contains a detailed damage and missing-inventory schedule and states that unlisted damage may be assessed at actual cost.

16. Swimming Pool Policy

Pool use is subject to TGHR safety and operational guidelines.

Guests must follow instructions issued by the resort team.

To protect water quality and guest safety, entry into the swimming pool after functions involving substances such as:

  • Haldi
  • Gulal
  • Mehendi
  • Colours
  • Chemicals
  • Similar materials

may be restricted.

Any contamination or damage caused by non-compliant usage may attract cleaning or repair charges.

The existing TGHR agreement specifically restricts pool entry after Haldi or with contaminating substances.

17. Fire, Pyrotechnics & Special Effects

Open flames, pyrotechnics, smoke effects or other fire-related effects are not permitted indoors.

Any outdoor use:

  • Requires prior TGHR approval
  • Must comply with applicable laws
  • Must follow safety requirements
  • May require statutory permissions

TGHR may prohibit any special effect that creates an unacceptable operational or safety risk.

The source terms prohibit indoor open fire/pyrotechnics and require approval and compliance for outdoor use.

18. Liquor & Statutory Permissions

TGHR does not itself provide or guarantee statutory liquor permissions.

Where alcohol is planned, the client is responsible for obtaining all applicable permissions, licences and approvals and submitting the required documents before the event.

The client is also responsible for obtaining any other statutory permissions required for the confirmed programme, including those relating to:

  • Police
  • Excise
  • Sound
  • Entertainment
  • Drone operations
  • Special production
  • Other regulated activities

TGHR may stop any activity that does not comply with applicable law.

The source agreement places responsibility for liquor and statutory permissions on the client.

19. Photography, Videography & Drones

Photography and videography associated with a booked event must comply with TGHR venue-access and operational policies.

Drone activity:

  • Requires prior discussion with TGHR
  • Remains subject to applicable laws and permissions
  • Must not interfere with guest safety, privacy or resort operations

TGHR may use photographs or video from events for legitimate promotional purposes only in accordance with the applicable booking consent/permissions.

Clients should notify TGHR in writing where specific media/privacy restrictions apply.

The current undertaking addresses promotional photography and makes drone compliance the client's responsibility.

20. Pet Policy

Pets are permitted only in designated outdoor areas, subject to TGHR operating policies.

Pets are not permitted inside:

  • Guest rooms
  • Banquet spaces
  • Other restricted indoor areas

unless TGHR expressly confirms an exception in writing.

TGHR's current agreement contains this outdoor-only pet rule.

21. Security & CCTV

TGHR premises may be monitored through CCTV for:

  • Security
  • Safety
  • Incident review
  • Operational monitoring
  • Lawful investigative requirements

Footage may be accessed or retained where reasonably required for these purposes and handled in accordance with applicable law.

The source undertaking confirms CCTV surveillance and security/legal use of footage where required.

22. Force Majeure

TGHR will not be responsible for delay, cancellation or inability to perform obligations caused by circumstances reasonably beyond its control, including applicable government restrictions or other force-majeure events.

Where appropriate, rescheduling or alternative arrangements may be considered subject to:

  • Availability
  • Operational feasibility
  • Applicable booking terms
  • Management approval

The agreement contains the same general force-majeure principle.
